Privacy Policy

This Privacy Policy explains how Shivakanya Tech collects, uses, and shares personal information when you use The Register.

1. Who we are

The Register is a class and studio management platform operated by Shivakanya Tech ("we," "us"). This policy covers information we process when studios, staff, students, and parents use our websites and services (the "Service").

2. Roles: studio vs. platform

Studios that use The Register typically collect student and parent information (rosters, registration, waivers, invoices). In that relationship:

  • The studio is the primary controller of its roster and family data—it decides what to collect and why.
  • We act as a processor / service provider for that data, hosting and processing it to provide features the studio enables.
  • We are the controller for account data about studio owners and staff who sign up for The Register, billing records for platform subscriptions, and product analytics needed to run the Service.

Families with privacy questions about a specific studio's practices should contact that studio first. We can help route requests when a studio uses our tools.

3. Information we collect

Account and studio information

Name, email, password (hashed), organization name and type, studio address, plan and billing status, and settings you configure.

Student, parent, and staff data (provided by studios)

Depending on what a studio enables, this may include names, contact details, emergency contacts, class levels, attendance, waiver signatures, custom fields, invoices, payment status, and portal login identifiers.

Payment information

Card payments are processed by Stripe. We receive limited payment metadata (for example payment status, amounts, Stripe customer or account IDs)—not full card numbers. Studios connecting Stripe Express share onboarding and payout-related data with Stripe under Stripe's policies.

Usage and technical data

Logs, device/browser information, IP address, approximate location derived from IP, and product interaction events used for security, reliability, and improvement.

Communications

Support emails, in-app messages, and transactional emails we send (welcome, password reset, invoices, announcements) when configured.

4. How we use information

  • Provide, secure, and improve the Service.
  • Authenticate users and manage accounts and subscriptions.
  • Process platform billing and enable studio tuition workflows via Stripe.
  • Send transactional messages and, where permitted, product updates.
  • Detect abuse, prevent fraud, and comply with legal obligations.
  • Provide customer support.

We do not sell personal information. We do not use student roster data to advertise unrelated third-party products to families.

5. How we share information

We share personal information only as needed to operate the Service:

  • Service providers such as hosting, email delivery, and payment processors (including Stripe), under contractual obligations to protect data.
  • Studios and authorized staff who control access to their school workspace and portal.
  • Legal and safety disclosures when required by law or to protect rights, security, or integrity of the Service.
  • Business transfers in connection with a merger, acquisition, or asset sale, subject to appropriate confidentiality.

6. Children and student data

The Register is designed for studios that may enroll minors. We do not knowingly market the platform directly to children. Studios are responsible for collecting only what they need, obtaining parental consents where required, and configuring registration and waiver flows appropriately.

If you believe a child's information was submitted inappropriately, contact the studio and support@the-register.app.

7. Retention

We retain account and billing records for as long as the account is active and as needed for legal, tax, and dispute purposes. Studio-controlled roster data is retained while the school account remains active, unless the studio deletes it or requests deletion consistent with our capabilities and legal holds. Backups may persist for a limited period after deletion.

8. Security

We use industry-standard measures such as encryption in transit, access controls, and provider security practices. No method of transmission or storage is completely secure; studios should also protect staff credentials and limit access appropriately.

9. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to certain processing. Studio owners can update much of their account and roster data in the product.

To exercise privacy rights related to platform accounts, email support@the-register.app. We may need to verify your identity. For data held by a studio about a student or parent, contact that studio; we will assist the studio where appropriate.

10. International transfers

We may process data in the United States and other countries where our providers operate. Where required, we use appropriate safeguards for cross-border transfers.

11. Cookies and similar technologies

We use cookies and similar technologies for authentication, security, preferences, and understanding how the Service is used. You can control cookies through your browser settings; disabling some cookies may affect login or features.

12. Changes

We may update this Privacy Policy periodically. The "Last updated" date will change when we do. Material changes may be communicated by email or in-product notice.

13. Governing law

This Privacy Policy is intended to be read together with our Terms of Service. Disputes are subject to the governing law provisions in those Terms (State of Washington, United States of America), except where mandatory privacy laws give you additional rights.
